1. Overview

This Privacy Policy explains how CoverQueue (“we”) collects, uses, and protects information when you use our submission-log, coverage, and script-tracking service (the “Service”). It covers personal information about account holders and organization members. The scripts and coverage you upload are handled as described in our Terms and Security page.

2. Information we collect

  • Account information: name, email address, organization name, and role.
  • Content you provide: scripts, coverage, writer records, and submission metadata you upload or enter.
  • Usage and log data: access events (views, downloads, shares, signatures, decisions), device and browser information, and IP address, used for security, auditing, and operating the Service.
  • Billing information: handled by our payment processor; we do not store full card numbers on our servers.

3. How we use information

We use personal information to:

  • Provide, maintain, and secure the Service;
  • Watermark deliveries per recipient and maintain the access log;
  • Process billing and manage plans and trials;
  • Send service-related communications (for example, coverage-completed or pending-intake notifications and important account notices);
  • Comply with legal obligations and enforce our Terms.

We do not sell personal information, and we do not use your scripts, coverage, or writer data to train machine-learning models.

4. Your rights (GDPR & CCPA)

Depending on where you live, you may have the right to access, correct, export, or delete your personal information, to object to or restrict certain processing, and (for California residents) to know what information we collect and to opt out of any “sale” of personal information (we do not sell it).

Much of this is built into the product: full data export (log CSV, coverage PDFs, writers CSV) is available on every plan, and you can delete your organization at any time. 5. Sharing and service providers

We share personal information only with service providers who process it on our behalf to run the Service, under contracts that limit their use of it. These include our cloud database and file storage provider (Supabase), our email delivery provider (Resend), and our payment processor.

We may disclose information if required by law or to protect the rights, safety, and security of our users and the Service. We do not sell personal information.

6. Data retention and deletion

We retain personal information for as long as your account is active or as needed to provide the Service. When you delete your organization, deletion runs with a 30-day grace period before data is permanently removed, after which it is deleted from active systems (backups age out on their normal cycle). You can export your data at any time before deletion.

7. Security

We encrypt data in transit and at rest, isolate each organization's data at the database level using row-level security, and watermark and log every delivery. For a fuller description, see our Security page.

8. AI and your content

We do not use your scripts, coverage, or writer information to train AI models, ours or anyone else's. Any future AI-assisted feature will be opt-in, will require human review, and will run only under a provider contract that prohibits training on your content.

9. International data transfers

We may process and store information in countries other than where you live. Where required, we rely on appropriate safeguards (such as standard contractual clauses) for cross-border transfers.
